Getting started with Synapse takes under two minutes. Head to synapsehire.com and click Start Free Trial. You can sign up with your email and a password, or use Google OAuth for one-click access.
Every new account includes a 7-day free trial with full access to all features. During the trial you can create jobs, connect integrations, run AI sourcing, and send outreach campaigns.
Once signed up, you'll land on the main dashboard where you can begin configuring your first job and connecting your email for outreach.
Navigate to Settings → Connections → Email and click Connect Gmail. You'll be redirected to Google's OAuth consent screen — authorize Synapse to send emails on your behalf.
This powers your outreach sending. Synapse sends emails directly from your Gmail account, ensuring high deliverability and authentic sender reputation.
You can connect multiple Gmail mailboxes and Synapse will automatically rotate between them using a least-sends-first algorithm. This helps distribute sending volume and keeps each mailbox's daily send count manageable.
Go to Settings → Connections and select your ATS provider. Synapse supports Greenhouse, Lever, Bullhorn, Ashby, Vincere, and 38+ more applicant tracking systems.
Once connected, your jobs will auto-sync from the ATS. New roles created in your ATS appear automatically in Synapse, and candidate data flows back to your ATS as they progress through the pipeline.
Each ATS integration has a dedicated setup wizard that walks you through API key configuration or OAuth authorization, depending on the provider.
You have two ways to create a job in Synapse:
Manual creation: Click + New Job on the dashboard. Fill in the role title, location, requirements, and any specific criteria for ideal candidates.
AI parsing: Paste a LinkedIn job URL and Synapse's AI will automatically extract the title, description, requirements, and qualifications — saving you time on data entry.
Once the job is created, the AI sourcing pipeline starts automatically. Synapse begins searching for matching candidates, scoring them, and preparing your outreach campaign.
Download Synapse from the App Store (iOS) or Google Play (Android). The app is free and included with all plans.
Log in using the same credentials as your web account (email/password or Google OAuth). Your data syncs seamlessly between web and mobile.
The mobile app is a thin client that connects to the same backend as the web app. Any changes you make on mobile — reviewing candidates, sending messages, approving drafts — are instantly reflected on web, and vice versa.
The main dashboard gives you a bird's-eye view of your recruiting activity:
Active Jobs — a list of all currently running jobs with candidate counts per stage.
Candidate Pipeline — visual breakdown of candidates across Sourced, Contacted, and Responded stages.
Daily Send Count — how many outreach emails have been sent today across all mailboxes.
Emma AI Chat — quick access to the Emma assistant for natural language queries about your pipeline, candidates, and tasks.
Synapse's AI pipeline runs 7 stages automatically for every active job:
- Search — Identify potential candidates from multiple data sources.
- Scrape — Collect detailed profile information from public sources.
- Enrich — Find verified email addresses and additional contact data.
- Score — Apply the FitScore algorithm (rules-based + AI analysis).
- Rank — Order candidates by fit for your specific role.
- Email — Generate and send personalized outreach sequences.
- Sync — Push candidate data and activity back to your connected ATS.
The entire pipeline is fully automated. Once you create a job and configure your criteria, Synapse handles everything end-to-end.
Every candidate receives a FitScore from 0 to 100 that measures how well they match your job requirements:
60 points — Rules-based scoring: Evaluates hard criteria like required skills, years of experience, location match, education, and job title alignment.
40 points — AI analysis: Uses large language models to assess softer signals like career trajectory, industry relevance, role progression, and overall profile quality.
Candidates scoring above 70 are generally strong matches. You can set custom thresholds to control which candidates proceed to the outreach stage.
Candidates move through three primary stages in the Synapse pipeline:
Sourced — The candidate has been identified, enriched, and scored. They're in the pipeline but haven't been contacted yet.
Contacted — At least one outreach email has been sent. The candidate may be mid-sequence with follow-ups scheduled.
Responded — The candidate has replied to your outreach. Remaining follow-up steps are automatically cancelled, and the conversation moves to your inbox for manual handling.
Synapse offers hybrid search combining pgvector semantic search with traditional keyword matching. This means you can search using natural language descriptions (e.g., "senior backend engineer with distributed systems experience") and get relevant results even if the exact terms don't appear in profiles.
You can also search conversationally through Emma AI — type a question like "Show me the top candidates for the React role in New York" and Emma will return matching candidates with their FitScores.
When a candidate enters your pipeline, Synapse enriches their profile with verified contact information:
Email lookup is powered by LeadMagic, which finds and verifies professional email addresses with high accuracy.
LinkedIn data is gathered from public profile information, providing work history, education, skills, and other professional details.
Each enrichment action uses contact credits from your plan. You can monitor your credit usage in Settings → Billing → Usage.
Synapse uses Gemini AI to create personalized outreach emails for each candidate. The AI analyzes the candidate's profile — skills, experience, current role, recent activity — alongside your job requirements to craft a compelling, relevant message.
Each outreach campaign can include 1 to 5 email steps in a sequence. The initial email introduces the opportunity, while follow-ups add additional context, social proof, or urgency to encourage a response.
You can review and edit any generated email before it's sent from the email queue.
When configuring an outreach campaign, you choose how many follow-up steps to include (1–5 total emails).
The default delay schedule between steps is: [0, 2, 5, 9, 14] days. The first email sends immediately (day 0), the second follow-up after 2 days, and so on.
These delays are fully customizable per campaign. You can adjust the timing to match your preferred cadence — shorter for urgent roles, longer for passive outreach.
The Email Queue page shows all upcoming emails scheduled for sending. Each entry displays the candidate name, subject line, scheduled send time, and sequence step number.
Before an email sends, you can edit the subject line and body, reschedule the send time, or cancel the email entirely. This gives you full control over what goes out under your name.
Cancelled emails don't affect the rest of the sequence — only that specific step is skipped.
Each connected mailbox has a daily sending limit of 20 emails per day. This conservative limit protects your sender reputation and ensures high deliverability.
You can configure send windows to control when emails are sent — for example, only during business hours (9 AM – 5 PM) in the candidate's timezone. There's also a business days only option that skips weekends.
To increase your total daily capacity, connect additional Gmail mailboxes. Synapse automatically distributes sends across all connected accounts.
When you have multiple Gmail mailboxes connected, Synapse uses a least-sends-first rotation algorithm. Each outgoing email is sent from whichever mailbox has the fewest sends that day.
This ensures even distribution of sending volume, preventing any single mailbox from hitting its daily limit while others sit idle. It also helps maintain consistent sender reputation across all your accounts.
Synapse monitors your inbox for candidate replies. When a candidate responds to any email in a sequence, all remaining follow-up steps are automatically cancelled.
This prevents the awkward situation of sending a follow-up to someone who already replied. The candidate's status moves to Responded, and the conversation thread appears in your inbox for manual follow-up.
Emma is Synapse's AI-powered assistant designed to help you manage your recruiting workflow. She classifies incoming emails, detects candidate intent (interested, not interested, asking questions), and drafts context-aware responses.
Emma works across both the web and mobile apps. On mobile, the dashboard is the Emma chat — making it the primary interface for on-the-go recruiting.
On the Synapse mobile app, the Dashboard tab is the Emma AI chat. Type natural language queries to interact with your recruiting data:
Examples: "Show me top candidates for the PM role," "How many emails did we send today?" or "Who responded this week?"
Emma understands context and can perform searches, surface pipeline stats, and help you take action — all from a conversational interface.
Emma continuously monitors your inbox for candidate replies. For each incoming email, she performs:
Intent detection — Classifies the reply as interested, not interested, asking for more info, scheduling, or out-of-office.
Confidence scoring — Rates how confident she is in the classification, so you can prioritize review of ambiguous messages.
Suggested responses — Generates draft replies tailored to the candidate's message and your conversation history.
Emma drafts replies that match your writing style by analyzing your previous messages. Over time, her responses become more aligned with your tone and communication preferences.
All drafts are available on the Drafts page for your review. You can edit the content, approve and send, or discard entirely. Emma never sends a reply without your explicit approval.
Synapse Mobile is built with Expo/React Native and works as a thin client that syncs with the web app in real-time. It has 4 main tabs:
- Dashboard — Emma AI chat for natural language interaction.
- Candidates — Browse and manage your candidate pipeline.
- Inbox — View email threads and compose replies.
- Settings — Account preferences, cache management, and app info.
The mobile Dashboard is a conversational interface powered by Emma. Type natural language to search candidates, get pipeline updates, or ask recruiting questions.
Examples: "Find senior engineers in SF with React experience," "What's the status of my product manager search?" or "Show me candidates who responded today."
The Candidates tab lets you browse your full candidate pipeline. Filter by stage — All, Sourced, Contacted, or Responded — using the segment control at the top.
Each candidate card shows their name, current role, FitScore, and pipeline stage. Tap a candidate to view their full profile, email history, and scoring breakdown.
Use pull-to-refresh to sync the latest data from the server.
The Inbox tab shows your email threads with candidates. Each thread displays the candidate name, latest message preview, and timestamp.
Tap a thread to view the full conversation history. You can compose and send replies directly from the mobile app — messages are sent from your connected Gmail account, same as the web app.
When Emma generates draft responses to candidate replies, they appear in the Drafts section. Each draft shows the original candidate message and Emma's proposed response.
You can edit the draft, approve and send it, or discard it entirely. This workflow ensures you maintain control over all outgoing communication while leveraging AI to save time.
If you're experiencing issues with the mobile app, try these steps in order:
- Force quit and restart the app.
- Check your internet connection — the app requires an active connection to sync data.
- Re-login if your session has expired — go to Settings → Sign Out, then log back in.
- Clear cache in Settings → Clear Cache to remove any stale local data.
If the issue persists, contact support with your device model, OS version, and a description of the problem.

- Core — $449/month, up to 5 seats. For small recruiting teams.
- Pro — $849/month, up to 10 seats. For growing agencies and in-house teams.
- Enterprise — Custom pricing. Unlimited seats, dedicated support, custom integrations.

During your trial, you can create jobs, run the AI pipeline, send outreach campaigns, and use Emma — everything works just like a paid plan. At the end of the trial, you'll be prompted to choose a plan to continue.
To change your plan, go to Settings → Billing and select your desired tier. Upgrades take effect immediately — you'll be prorated for the remainder of your current billing cycle.
Downgrades take effect at the start of your next billing cycle. If you're reducing seat count, make sure to remove team members before the downgrade processes.
Contact credits are consumed when Synapse enriches a candidate's profile or exports their contact information. Each plan includes a monthly credit allowance that resets at the start of each billing cycle.
You can monitor your usage in Settings → Billing → Usage. If you need more credits before your cycle resets, additional credit packs can be purchased from the same page.
